Coordinator, Livestock – Events

SUMMARY
Coordinate and provide administrative support for the planning and execution of State Fair of Texas livestock shows and competitive events in coordination with the Livestock Director. Coordinate execution of contracts and business documents; perform a wide variety of clerical, administrative and support duties; produce, file, and distribute a variety of documents; respond to requests for information from management/supervisory personnel or general public. Coordinate seasonal staff, interns and other projects regarding agricultural content.

DUTIES and RESPONSIBILITIES
Essential and other important responsibilities and duties may include, but are not limited to, the following:

Essential Functions:

  • Develop and publish annual livestock department exhibitor handbook to include all rules,
    guidelines and schedules for competitions held through the department.
  • Procure high quality awards lineup for departmental competitions.
  • Coordinate all contracts and associated accounting documentation and payments for
    departmental competitive events.
  • Coordinate feed store products through vendor procurement, product fulfillment, and
    inventory management.
  • Coordinate with contract personnel to ensure competitive events are executed to the desired
    outcomes.
  • Create, plan, and execute special events and contests.
  • Supervise and train seasonal office personnel, interns, and/or contractors for departmental positions to ensure consistent application of policies and data management.
  • Prepare necessary information, reports, and data to support departmental needs.
  • Participate in industry associations for networking, benchmarking, and promotion.
  • Perform additional related duties and responsibilities as assigned.

Marginal Functions:

  • Support the Mission Statement of the State Fair of Texas
  • Perform related duties and responsibilities as required and other duties as assigned
  • Comply with all internal, state and federal regulations
  • Complete all training as directed by management

QUALIFICATIONS

Knowledge of:

EXPERIENCE and TRAINING GUIDELINES
Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:

Preferred Education and/or Experience:

  • Equivalent to a bachelor’s degree from an accredited college or university, preferably with some exposure to livestock show management responsibilities.
  • Background in or knowledge of agricultural practices and related current issues and events.
  • One to three years of administrative support and event management related experience.
  • Specialized training in computer software programs appropriate to organization preferred.

SUPERVISION RECEIVED and EXERCISED

  • Reports to Livestock Director.
  • Works independently with regular supervision to clarify assignments and receive guidance as needed.
  • Directly supervise part‐time employees during Fair time

WORKING CONDITIONS

Environmental Conditions:

  • Office environment; exposure to computer screens.
  • Livestock barns environment; exposure to animals, dirt and dust.
  • Working outdoors in various weather conditions and on uneven and/or slippery surfaces, as necessary, especially during Fair time and special events.

Physical Conditions:

Provide responsible administrative support for the daily departmental operations to the SVP, Livestock; coordinate events and activities for the Briscoe Carpenter Livestock Center; coordinate departmental contracts and business documents; perform a wide variety of clerical, secretarial, and support duties; produce, file, and distribute a variety of documents; respond to requests for information from management/supervisory personnel, input/track sales data for Development department, and support Livestock & Development department events and needs.

DUTIES and RESPONSIBILITIES
Essential and other important responsibilities and duties may include, but are not limited to, the following:

Essential Functions:

● Coordinate and provide administrative support for Livestock departmental activities including contracts, accounting documents, customer service, and correspondence.
● Coordinate events and activities at the Briscoe Carpenter Livestock Center.
● Prepare and maintain departmental accounts receivable and accounts payable.
● Perform a wide variety of general administrative support tasks and duties, including the maintenance of accurate and detailed files and records; verify accuracy of information, research discrepancies and record information.
● Coordinate with Development, Livestock and Horse Show personnel to ensure consistent interoffice data requirements; prepare, and proofread a variety of documents including general correspondence, agendas, and reports; enter a variety of data and information into various computer programs.
● Receive, sort, and distribute incoming and outgoing correspondence.
● Input/track sales data for Development department.
● Provide information on departmental and SFT policies and procedures as required; and transfer inquiries to the appropriate individual or department as necessary; receive and resolve guest complaints.
● Support SFT special events/activities as assigned.

Marginal Functions:

● Answer multi‐line telephone system and maintain office supplies.
● Perform additional related duties and responsibilities as assigned.

QUALIFICATIONS

SUMMARY
Direct all aspects of agriculture related competitive events hosted by the State Fair of Texas including livestock, horse, and agriculture focused competitions lead by the Fair’s overall mission and goals. Lead, manage, and hold accountable staff, interns, volunteers, contractors, competitors and advisor communications associated with the events. Ensure that all SFT policies are followed and implemented.

DUTIES and RESPONSIBILITIES
Essential and other important responsibilities and duties may include, but are not limited to, the following:

Essential Functions:

● Direct all aspects of competitive events in the Livestock Department to support the mission of the State Fair of Texas.
● Lead, manage, and hold accountable personnel, contractors, volunteers, and staff.
● Manage customer relations to create competitive events that attract top contestants from everywhere.
● Develop and implement competitive event rules, regulations and policies.
● Solicit and procure sponsorships to support departmental budget goals.
● Manage all data with care to accurately track, report, and analyze all entries, results, payouts, etc. as necessary.
● Coordinate with related associations and businesses for industry improvement.
● Prepare and process all business documents (payroll forms, invoices, contracts, procurement forms, etc.) to facilitate departmental needs.
● Manage schedule of work necessary for competitive events.
● Supervise and train seasonal office personnel, interns, and/or contractors for departmental positions to ensure consistent application of policies and data management.
● Implement and enforce SFT policies, rules and regulations related to competitive events.
● Participate in industry associations for networking, benchmarking, and promotion.
● Perform additional related duties and responsibilities as assigned.

● Three to five years of supervisory or event management related experience

SUPERVISION RECEIVED and EXERCISED

● Reports to SVP –Livestock
● Supervises Livestock Manager and/or Coordinator
● Works independently with minimal supervision
● Supervision exercised for part-time, seasonal employees, interns and contracts officials.

WORKING CONDITIONS

Environmental Conditions:

● Office environment; exposure to computer screens.
● Working outdoors in various weather conditions and on uneven and/or slippery surfaces, as necessary, especially during Fair time and special events.
● Exposure to all types of livestock and potential livestock related illnesses; irregular work hours;
